Brief Description of Duties

  1. Responds to inquiries from public and internal constituents by way of in-person, telephone, e-mail, and written contacts.
  2. Provides information regarding College and University programs/services to students, staff, faculty, and the public by way of in-person contacts, electronic media, and print materials.
  3. Maintains an inventory of forms/schedules/manuals/catalogs/handbooks, etc. and provides them to students and University personnel as needed to facilitate add/drop, course withdrawal, change of grade, declaration/change of major, and registration procedures.
  4. Maintains inventory of computers and supporting electronic hardware and supports Dean’s staff in developing and implementing the recycling of hardware to the Dean the cycling out of those that are obsolete or non-functioning.
  5. Maintains an electronic data base of all requested and processed actions at the College level for students, faculty, and staff including but not limited to grade change requests, repeated course requests etc.
  6. Directs public and internal constituents to appropriate academic and support offices/services as requested via telephone, e-mail, and in-person contacts.
  7. Maintains an updated directory of CAS faculty and staff (office location, telephone number, email address) in print and electronic format for dissemination to students, faculty, and staff.
  8. Maintains a log of all forms, correspondence, requests for action, etc. sent to/from the Dean’s Office and directs all incoming correspondence to appropriate Dean’s Office staff.
  9. Maintains a common electronic calendar for Dean’s Office staff.
  10. Schedules use of Dean’s Office space e.g. conference rooms and small classrooms for Office staff and CAS faculty, staff, and students.
  11. Maintains interview Calendar for recruitment of faculty and staff and ensures that all required interview materials are distributed to and retrieved from search committee chairs, and archived as instructed by the Dean or the designee.    
  12. Monitors space repairs and relocation projects within the College and provides progress updates to the Dean
  13. Couriers all on-campus correspondence to and from Dean’s Office.
  14. Supports the Dean’s Office with hosting recurring events by securing and monitoring the set up and break down of space, and ensuring that electronic devices are operational for the events.

Required Qualifications

  1. High School Diploma and at least 2 years of experience in similar position, Associates Degree preferred;
  2. Working knowledge of University and College policy and procedure as outlined in the University Catalog, Schedule of Classes, Academic Policies Manual, and Student Handbook/Code of Conduct and other governing documents;
  3. Working knowledge of CAS academic offerings and support services including, but not limited to, undergraduate and graduate degree programs and certificate offerings;
  4. Strong interpersonal skills; Ability to interact with a diverse group of students, faculty, staff, and public;
  5. Excellent oral and written communication skills: Working knowledge of business protocol for communication by e-mail, telephone, and letter;
  6. Exceptional technology skills; Working knowledge of Microsoft applications including, but not limited to, Microsoft Office (Word, Excel, PowerPoint, Publisher) and Outlook;   
  7. Ability to use University and College intranet systems;
  8. Ability to work well independently and on teams; 
  9. Keen attention to detail; and
  10. Working knowledge of policy/guideline/law that protects the rights of students and University employees with regard to information sharing.

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
