Incumbent functions as a Staff Assistant to the Associate Dean of Students in the David A. Clarke School of Law, Office of the Provost and Vice President for Academic Affairs, University of the District of Columbia.

Brief Description of Duties

 

  • Provides administrative and clerical support to the Directors of Financial Aid, Career Services and Alumni Affairs.
  • Maintains job database by entering information from web sites, list serves, facsimiles, etc.
  • Generates bi-weekly job bulletin for students and alumni.
  • Handles travel arrangements for Student Services staff by preparing travel request documents and completing expense vouchers.
  • Updates student, alumni and contacts databases.
  • Provides administrative support for summer public interest fellowship program by collecting applications; collecting mid-term and final reports; making check requests; and logging pertinent information.
  • Conducts on-line research concerning current and prospective employment opportunities; assist with abstracting and entering data regarding career opportunities for the on-line career services bulletin.
  • Provides outreach and publicity to employers and mentor programs; schedules rooms, mails invitations and tracks RSVPs; and prepares handouts for resumé and cover letter workshops.
  • Creates and maintains financial aid files.
  • Completes Student Status Confirmation Report (SCCR) Roster.
  • Loads and prints Institutional Student Information Reports (ISIRS) and scholarship, borrower history and financial aid reports.
  • Monitors work-study hours worked and alerts students and supervisors about the remaining amount of the award.
  • Collects employment data for surveys.
  • Provides administrative support to the D.C. School of Law Foundation by using financial software to enter transactions and generate than-you letters.
  • Deposits donations in Foundation bank account.
  • Coordinates alumni events by scheduling rooms, obtaining food provisions and taking photographs.
  • Orders supplies and equipment for the office.
  • Operates the photocopy machine and other office equipment.
  • Provides other related duties as assigned.

 

Required Qualifications
 

  • Bachelor Degree
  • (2) years experience
  • Knowledgeable of applicable policies, rules, regulations and procedures.
  • Has ability to work independently on confidential matters and other assignments.
  • Ability to gather and analyze data in order to create and prepare routine and ad hoc reports and correspondence.
  • Ability to communicate orally and in writing.
  • Ability to compose and edit written materials.
  • Ability to create and maintain databases and extract information for reports.
  • Knowledge of all systems sufficient to complete assigned tasks in a timely and professional manner.
  • Excellent administrative and computer skills.
  • Ability to establish and maintain effective working relationships with University personnel, faculty, staff, students, alumni and others.
  • Ability to work well under pressure and with a high degree of accuracy and close attention to detail when confronted with emergencies and changing priorities.
  • Knowledgeable of general office procedures, supplies, equipment and services ordering and inventory control.
  • Ability to supervise student workers.
  • Knowledge of Microsoft Office and other computer programs which include Word, WordPerfect and Excel.

Collective Bargaining Unit (Union): This position is in the collective bargaining unit represented by AFSCME local 2087 and you may be required to pay an agency service fee through direct payroll deduction.

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
