Brief Description of Duties

The purpose of this position is to provide reconciliation support for The Office of Financial Aid. The incumbent is responsible for a variety of financial aid program reconciliations, monthly and year-end program reconciliations.  The incumbent is also responsible for verifying that related transactions are properly reported to the COD and NSLDS Systems within the prescribed regulatory timeframes.  This position reports both to the Associate and Director of Financial Aid and assists with administering financial aid programs in accordance with all federal, state, and institutional regulations and policies.
 
DUTIES AND RESPONSIBILITIES:
 

  • Interprets regulations, policies and procedures from local, State, and Federal to ensure reconciliation compliance
  • Administers monthly reconciliation of all Title IV, State, Institutional, Departmental and Foundation programs
  • Works with applicable USDE (COD, NSLDS etc.) and University systems (i.e. BANNER) to perform reconciliation
  • Works closely with Student Accounts and Finance to ensure accuracy in record keeping and timely processing of student loan disbursements
  • Thoroughly document reconciliation results for audit purposes
  • Responsible for the “unclaimed refund” process, which requires compliance with federal regulations as well as coordination with Student Accounts and Finance.
  • Troubleshoot rejected COD files, correct and retransmit within the USDE reporting timeframe. 
  • Ensure timely and accurate transmittal of data to the Department of Education including but not limited to: disbursing aid to student accounts, clearing rejects and errors, and originating loans.
  • Coordinate and complete semi-annual internal and required external financial aid audits. Supports the Director in the execution of all audits and program reviews
  • Seek opportunities to gain knowledge and implement more effective and efficient processes.
  • Other duties as assigned by the Director(s)

Required Qualifications
 

  • Bachelor's degree required.
  • Three (3) years recent experience in a Student Financial Aid office requiring knowledge of Banner.
  • Accounting Degree preferred
  • Must have ability to work in a fast paced environment and have excellent oral and written communication skills and proficient with Excel, Word, NSLDS, COD and CPS.
  • Candidate must not be in default on Title IV student loans.

Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
