Brief Description of Duties


Incumbent functions as the Coordinator for Data Management and Logistics in the Data Management and Assessment Unit within the Operations component of the College of Agriculture, Urban Sustainability and Environmental Sciences (CAUSES) at the University of the District of Columbia. Incumbent works under the general supervision of the Administrative Specialist for Data Management and Assessment and performs duties to assist with meeting the unit's objectives to include: data collection, organization, data cleaning, reporting, and participating in certain aspects of compliance.  The incumbent is expected to perform the majority of assigned duties with a high degree of independence and initiative. Work is performed in accordance with the rules, regulations, policies and procedures of the university and the college.                                                                                                                                        
ESSENTIAL DUTIES & RESPONSIBILITIES:  
                                                                       

  1. Conducts liaison activities with academic and land-grant faculty and staff.  Adheres to changes in directives policies and procedures which would affect unit operations. Keeps the Administrative Specialist for Data Management and Assessment & Associate Dean for Operations abreast and informed in a timely fashion.
  2. Plans, organizes, directs, co-ordinates and implements tasks necessary to accomplish data management and logistics related to academics, research and outreach operating under the University of the District of Columbia's College of Agriculture, Urban Sustainability and Environmental Sciences (CAUSES).
  3. Gathers and assembles data pertaining to various aspects of the academic, research, and outreach programs as needed by the Dean, Associate Deans, and Administrative Specialist for Data Management & Assessment.  Determines the source and authenticity of the data, and insures that the data is presented in an appropriate format.
  4. Reviews and compiles reports from subunits into comprehensive reports, graphs and grids.
  5. Composes and drafts a variety of materials for the Administrative Specialist for Data Management & Assessment and Dean of Operations while maintaining confidentiality of the information.
  6. Coordinates the collection and preparation of operating records pertaining to data collection, assessment, and logistics.   Acts as liaison between the Administrative Specialist for Data Management and Assessment & program staff to meet data management and logistics requirements for the College of Agriculture, Urban Sustainability and Environmental Sciences.
  7. Responsible for developing and recommending innovative procedures and guidelines relating to the position to ensure that all data management, logistics, and certain compliance activities are adhered to.
  8. Assists program managers with compiling reports, data, correspondence and programmatic needs. Monitors the governing compliances related to data collection, assessments, scheduling, evaluation, and logistics.  Participates in facilitating  compliance reviews and program assessments(internal as well as external).  Maintains an accurate record/inventory of reports received and materials related to assigned activities.
OTHER DUTIES:
  1. Ability to work independently.
  2. Ensures that all work is conducted safely and to the required standards.
  3. Provides new and improved methods of instruction and techniques designed to enhance the community, partners and clients current and potential knowledge of the UDC College of Agriculture, Urban Sustainability and Environmental Sciences.
  4. Responds to the requests by the Dean, Associate Dean, and Program Directors to provide summaries of data, records and/or progress reports in a timely manner.
  5. Performs other related duties as assigned.
 
MINIMUM JOB REQUIREMENTS:
 
  1. Sixty hours above a High School diploma.
  2. 3-5years experience in the field or related discipline.
 
REQUIRED COMPETENCIES:
 
Knowledge of policies and procedures within the CAUSES landgrant research and extension programs. Knowledge of the rules, regulations, policies and procedures of various Federal and District agencies providing grant funding to the unit or the ability to acquire such knowledge rapidly.
  • Solid skills in Microsoft Office Software (Word, Outlook, Excel).
  • Highly organized and detail-oriented with excellent follow-through skills.
  • Knowledge of analytical and evaluative methods and principles for assessing and improving program effectiveness.
  • Ability to enter, analyze, and interpret data.
  • Ability to perform with some degree of independence and confidentiality, where required.
  • Ability to contribute technical and administrative inputs in conformance with various training programs.
  • Ability to meet deadlines and adapt to changes in the work process.
  • Ability to exercise good judgment in working cooperatively with university officials from other agencies, colleagues, peers and the general public.
  • Ability to develop and maintain an effective working relationship with unit and division personnel, university officials and staff, external clients and vendors and community in general.
  • Thorough knowledge of the principles of office management of modern office procedures, systems and equipment.

Collective Bargaining Unit (Union): This position is in the collective bargaining unit represented by AFSCME local 2087 and you may be required to pay an agency service fee through direct payroll deduction.

Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.
