Brief Description of Duties

Incumbent functions as a Warehouse, Shipping and Receiving Clerk at the University of the District of Columbia (UDC) under the administrative direction of the Manager, Facilities Operations for the Office of the Vice President for Real Estate and Facilities Management. The Warehouse, Shipping and Receiving Clerk is responsible for the following duties:

Essential Duties and Responsibilities

  • Receives and unloads incoming materials and compares information on packing slip with purchase order to verify the accuracy of shipment; processes return shipment from customers.
  • Utilize Banner to verify that all items were received from the vendor is in accordance with the purchase order issued before delivering the parcels to the department who ordered the goods.
  • Utilize government vehicles to pick up and deliver items to requisitioning departments and obtains authorized signatures for accepted items for all locations throughout the University System (Flagship and Community College).
  • Assigns property identification tags to fixed asset items received, to include but not limited to, electronics and furniture for the University System (Flagship and Community College).
  • Operates jacks, dollies and forklift and any other material handling devices as required in loading and unloading supplies and equipment.
  • Check or inspect mail for completeness and readiness of dispatch and conformity to administrative instructions and compliance with pertinent security regulations.
  • Separates incoming and outgoing mail and parcels and places it in the proper bins according to departments and categories such as Federal Express, United Parcel Service, and United States Postal Service.
  • Apply postage to outgoing letters and parcels via the Neopost Mailing System.
  • Utilize the IT maintained online employee directory to make frequent inquiries throughout the University offices to obtain the necessary contact information for the redirection of improperly addressed parcels and mail.
  • Performs duties involved in the effective management of a warehouse operation.
  • Sorts, counts, packages, labels, ensure, unpacks and logs inventory which is shipped or received.
  • Organizes the warehouse to manage the traffic of ongoing shipping and receiving activity effectively.
  • Inspects shipments for damages or defects; records discrepancies or damages and notifies the supervisor.
  • Declares property surplus after determining that it is not suitable for further utilization. Prepare the documentation and make the necessary arrangements to have the property disposed of according to the District of Columbia Government rules and regulations.
  • Resolves disputes between vendors and University clients when a shipment is incorrect.
  • Places shipments received in various storage areas.
  • Traces lost shipments and customer claims of lost shipments; initiates proof of delivery documents.
  • Completes fixed assets documentation and submit to the Office of the Chief Financial Officer (OCFO)
  • Assists in maintaining the department’s database; prepares routine reports and files shipping and receiving records.
  • Performs other related duties assigned.

Minimum Job Requirements

  • The incumbent should possess a high school diploma, a valid driver’s license and five (5) years of experience in a related field. A Bachelor’s degree in a related field can substitute for experience.

  • The incumbent should have advanced knowledge of the Neopost mailing and tracking systems

Collective Bargaining Unit (Union): This position is in the collective bargaining unit represented by AFSCME local 2087 and you may be required to pay an agency service fee through direct payroll deduction.

Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
