Brief Description of Duties

The position serves as an assistant to the PATHS Case Managers at the University of the District of Columbia’s (UDC) Paving Access Trails for Higher Security. The incumbent provides customer service and clerical support by answering phones, taking messages and referring callers and visitors as appropriate.
 
The incumbent works under the general supervision of the Counselor/Supervisory Case Manager (PATHS) who discusses overall objectives of work assigned.  The incumbent is informed of any policy or procedural changes. Work is performed in accordance with rules, regulations, policies and procedures of the University of the District of Columbia.    

ESSENTIAL DUTIES AND RESPONSIBILITIES                                                                  

  • Receives and responds to multi-line telephone inquiries.
  • Answers participants’ questions about TANF skill training programs and services.
  • Receives, responds and refers walk-in inquiries to appropriate staff member(s).
  • Tracks transportation and time sheets for PATHS customers.
  • Prepares weekly action reports and monthly participant reports
  • Performs clerical duties, opening and collecting mail, photocopying, faxing and filing.
  • Maintains a set of PATHS/POWER required forms/schedules/manuals/catalogs/
handbooks, etc. and provides them to students as needed.
 
  • Directs public and internal constituent to appropriate support offices/services as requested via telephone, e-mail, and in-person contacts.
  • Maintains operational office equipment, such as facsimile machine, networked printer and copier.
  • Maintains a record of all incoming correspondence in electronic format and distributes to appropriate staff.
  • Maintains inventory of PATHS/POWER equipment, supplies and informs the management about needed supplies for normal operation of PATHS/POWER daily activities.
  • Performs monthly audit checks of files to ensure that records are consistent with the agency recordkeeping policy
  • Schedules, arranges and tracks professional development opportunities for staff
 
OTHER DUTIES
 
  • Maintains database as directed, including but not limited to fare card distributions, distributions of uniforms, books and other resources; return mails sent to customers;
  • Assists in all programmatic activities, such as group orientation, graduation ceremony and special projects;
  • Perform other duties as assigned.

                                                                                                                                    
Required Qualifications
 

  • Completion of Customer Service Training
  • Completion of a PATHS skills training program or equivalent; Associate Degree preferred
  • Knowledge of Microsoft Office Software (Word, Excel and Outlook)
  • Experience working for programs and knowledge of strategies serving TANF customers preferred

Condition of Employment:  This is a sponsored program appointment. The duration of this appointment is subject to grant fund availability.
