Brief Description of Duties

The Administrative Specialist for Data Management and Assessment, College of Agriculture, Urban Sustainability and Environmental Sciences (CAUSES) of the University of the District of Columbia, reports directly to the Associate Dean of Operations and is responsible for the management and assessment of qualitative and quantitative data required for academic, research, and outreach programs in the college.  The Administrative Specialist will maintain assessment and evaluation databases; prepare statistical charts, tables and graphs using Excel and SPSS; and manage assessment processes, i.e. collecting, cleaning, organizing data for analysis and reporting.  The incumbent will work closely and cooperatively with the Dean, Associate Deans, Assistant to the Dean for Academic Programs, Directors and staff, must be creative and progressive, a team player, work effectively and efficiently, perform duties with independence, initiative, and reliability, work well under the pressure of deadlines and be familiar with or become familiar with the regulations, policies and procedures established by the USDA and other grant agencies.    
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
 

  1. Maintains assessment and evaluation databases relating to the University’s land-grant research and extension programs and academic units within CAUSES, i.e. data collection, input, cleaning, organizing data for analysis and reporting.   
  2. Works closely with land-grant program directors in facilitating requests for data and with other college staff to acquire, analyze, and report data.
  3. Supervises the Assessment Team, assigning work and activities, and ensuring that goals and objectives of the unit are met.
  4. Prepares statistical charts, tables and graphs using Excel and SPSS.
  5. Works with the Marketing and Communications Manager to assist in the production and dissemination of reports to internal and external constituencies.
  6. In collaboration with the Dean and Associate Deans, and Assistant to the Dean, implements continuous improvement processes for database management of land-grant program research and extension activities and requirements.  
  7. Conducts two on-site visits per month to evaluate extension workshops (style, format, presentation, audience participation, attendance).
  8. Assists the Associate Dean of Operations with tasks relative to data collection, input, and analysis for the Annual Report of Accomplishments and Results as required by USDA, NIFA.
  9. Assists the Associate Dean of Operations with special assignments relative to administrative processes required for land-grant research and extension programs.
  10. Assists the Associate Dean of Programs and program directors with formative evaluation assessments as required.
  11. Assists the Assistant to the Dean for Academic Programs with formative evaluation assessments of curriculum courses.
OTHER DUTIES:
 
  1. Works effectively and collaboratively with the Dean, Associate Deans, Assistant to the Dean and other faculty and staff within the college and UDC as required by specific projects.
  2. Performs other duties as assigned including special assignments related to the areas of responsibility as well as the needs of the college.
MINIMUM JOB REQUIREMENTS:
 
  1. Bachelor’s degree in Statistics, Public Administration, Business Administration or related field.  Master’s degree preferred.
  2. Three (3) years of progressively responsible experience in data management and assessment.
 
REQUIRED COMPETENCIES:
 
  1. Knowledge of quantitative data collection, analysis, interpretation, and reporting with strong focus on data quality and continuous improvement processes.
  2. Knowledge of key-boarding: standard office software, Desktop Publishing, Adobe PDF/Acrobat, Microsoft Excel and PowerPoint reporting software.
  3. Knowledge of statistical software and reporting tools, i.e. SPSS.
  4. Ability to operate in a highly collaborative manner and working in pressure situations.
  5. Ability to effectively communicate with all levels of management across the University.
  6. Ability to develop positive working relationships with stakeholders.
  7. Ability to communicate effectively with others.
  8. Ability to use instructional technology and software technology.
  9. Ability to work collaboratively with peers and administrators.
