Brief Description of Duties

  1. Types a variety of documents and reports, insuring correct grammar, spelling and style.
  2. Schedules appointments and conferences, arranges for participation of staff as necessary, and reminds them of obligations and deadlines for submission of reports and work assignments.
  3. Makes arrangements for travel, and hotel reservations, notifying people of the supervisor’s itinerary of the visit and submitting travel vouchers before and after supervisors’ return.
  4. Reads incoming correspondence, handles routine matter personally, makes appropriate referrals and follow up on responses.
  5. Reviews outgoing correspondence for clerical and procedural accuracy and attachment of supplemental materials.
  6. Establish and maintain files in communication with the work to the office, and revises files to meet the needs of the office.
  7. Maintains and keep updated student records on the School’s Share Drive.
  8. Contact and notify prospective students of incomplete applications.
  9. Communicate with faculty advisors to ensure that all they are equipped with the necessary advising tools.
  10. Provide reference(s) for the supervisor in connection with correspondence and report by assembling the information from files and documents in the office or other available sources outside the office.
  11. Prepare office supplies, marketing trinkets, equipment requisitions as requested by the supervisor.
     

Required Qualifications

  1. High school diploma required.  Associate degree in office or business administration preferred.
  2. At least five years of related experience.

Condition of Employment:  Temporary employment is restricted to a one year appointment and employment may be ended at anytime with or without cause. 

Collective Bargaining Unit (Non-Union): This position is not in the collective bargaining unit.

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
