Brief Description of Duties

The Meeting & Events Manager of the Student Center is responsible for conference coordination of the center’s operations, including marketing facilities, assisting in scheduling, planning, on-site support and supervision of student staff.  Responsible for managing events and ensuring deadlines and budgets are adhered to and directs coordination of activities to prepare for the day of the event. The Student Center Meeting & Events Manager is an essential position.                                                                                                 
ESSENTIAL DUTIES & RESPONSIBILITIES: 

  1. Coordinate details of events such as conferences, weddings, birthdays, anniversaries, charity events, surprise parties, trade shows, sales meetings, business meetings, employee appreciation events and virtual events.
  2. Manage staff responsible for event coordination activities.
  3. Hire, train, and educate staff on proper event procedures.
  4. Calculate budgets and adjust when necessary.
  5. Book venues and negotiate fees.
  6. Work with guest of honor to ensure all requests are met.
  7. Drive attendance to the event.
  8. Initiate and provide event planning support to clients, including up selling services and amenities that are offered.
  9. Analyze event performance and prepare metrics presentation.
  10. Define Student Center brand through events.
  11. Ensure staff is adequately prepared for event.
  12. Pay vendors for their participation in the event.
  13. Ensure day of event goes smoothly with appropriate logistics such as, booths, flowers, decorations, and other event décor.
  14. Work with food service provider to craft set menus for catered student center events.
OTHER DUTIES:
  1. Other duties as assigned.

Required Qualifications

 

  1. Bachelor’s degree in Marketing, Journalism, English, Business or related field.  Master’s degree preferred.
  2. Five (5) years of progressive experience in event management and customer service.
  3. Familiarity with scheduling software programs such as EventPro.
  4. Experience working closely with sales and marketing staff.
  5. Ability to work evenings and weekends.
  6. Demonstrated understanding of conference, reservations and event services.
  7. Excellent verbal and written communication skills; ability to listen, clearly articulate thoughts/directions/expectations and develop reports/proposals and make presentations.
  1. Work independently and as part of a team.

Ability to problem solve in a calm manner as unforeseen situations arise.

Condition of Employment:  Temporary employment is restricted to a one year appointment and employment may be ended at anytime with or without cause.

Collective Bargaining Unit (Non-Union): This position is not in the collective bargaining unit.
