Brief Description of Duties

The Associate Registrar reports directly to the University Registrar and manages the day-to-day office operations and its team members. Under minimal supervision, the Associate Registrar provides guidance and support on projects and complex situations. With shared leadership accountability, this position assumes full responsibility of the office in the absence of the Registrar.

Essential Duties and Responsibilities

  1. Collects and analyzes operational data, performs business process analyses and makes recommendations to improve processes and/or systems improvements in collaboration with appropriate offices as well as address day-to-day maintenance needs.
  2. Manages and assists with processes and procedures for transfer credit evaluations.
  3. Prepares and/or maintains a variety of correspondence, records and reports including but not limited to attendance reports, transfer credit reports, purchase request reports, and leave records.
  4. Assists with the development and implementation of the unit’s official communication plan including the development of ads and brochures, revising applications, office forms, etc.
  5. Manages the graduation process in collaboration with management assistants. Implements new processes and procedures.
  6. Provides overall coordination of the Total Withdrawal Process while working with the Banner Functionalist Specialist to report enrollment to NSC & NSLDS.
  7. Resolves registration errors and discrepancies in student records.
  8. Assists with the creation and activation of the semester schedule of classes and manages registration priority systems such as building terms and end of term process.
  9. Responsible for overseeing all inventories, supplies, travel and requisition requests with the office.
  10. Collaborates with the Registrar in establishing goals for the office; evaluating its effectiveness; and creating an environment responsive to the needs of the campus community.
  11. Works closely with the faculty and other members of the staff to support the academic programs of the institutions.
  12. In collaboration with the Registrar, interprets and implements a range of academic and administrative policies, ensuring that policies and procedures are enforced equitable.
  13. Manages the implementation of new technologies.
  14. Performs other duties as assigned by the Registrar.

Minimum Job Requirements

  1. Bachelor’s degree required.
  2. Three to five (3-5) years of work experience within the Office of the Registrar.
  3. One to three (1-3) years of supervisory experience.
  4. Experience working with the Banner student module preferred.

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
