Brief Description of Duties:

This is an entry-level staff position reporting to the Executive Director of Career Services. The incumbent functions as the Office Manager in the Office of Career Services. This position manages the front desk, office operations, and multi-type client traffic including students, alumni, faculty, staff, employers, and recruiters. This position is responsible for the administrative functions that directly support the career services staff and career programming for students and alumni as well as employments, recruiters, faculty, and staff.

Essential Duties and Responsibilities:

1. Manage the front desk and office operations as well as the client traffic including students, alumni, faculty, staff, employers, recruiters, and community partners for the Office of Career Services.
2. Provide administrative and clerical support to the career services staff with an emphasis on the Executive Director of Career Services and other Directors of Career Services.
3. Supervise, train, and evaluate the student office assistants that support the office administrative functions.
4. Respond expeditiously to office communications and appointment requests while scheduling appointments and recommending career services to clients.
5. Monitor the office budget expenditures, complete purchase requisitions, reconcile expenditures, and organize budget documentation for items such as office supplies, travel, professional development trainings, and etc.
6. Assist with the coordination of career events and career programming logistics such space reservations, space setup, ordering promotional items, greeting of clients, ordering event food and beverages, and etc.
7. Market and communicate to clients the career opportunities, career events, and career programming through meetings and a variety of mediums such as the career management system, social media, website, email,     flyers, brochures, and etc.
8. Maintain the office spaces and inventories of office supplies, equipment, furniture, software, technology, career informational resources, and other related items.
9. Assist with the maintenance of the career management system and other career systems while completing data entry such as career events, client check-ins, employment positions, office documents, employment outcomes,     user accounts, and etc.
10. Prepare and submit reports for office management and operations outcomes while maintaining records of activities and data.
11. Perform all other duties as assigned.

Minimum Job Requirements

1. A bachelor’s degree in administrative office management, behavioral health, business, counseling, education, human resources, management, marketing, psychology, public administration, social work, or a closely related     field; Master’s degree preferred.
2. A minimum of 3-5 years of related work experience in office administrative, clerical, and operations work; experience with college student populations preferred.
3. Proficient in computer software applications including Windows and Microsoft Office Suite Word, Excel, Outlook, PowerPoint, Publisher, and other related software packages; additionally proficient in career management systems such as GradLeaders, Symplicity, Purple Briefcase,     College Central, and other related systems preferred.
4. Proficient with technology including computers, copiers, printers, scanners, faxes, telephones, televisions, projectors, and other related technology.

Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
