Brief Description of Duties

The Staff Assistant and record keeper for the Environmental Quality Testing Laboratory (EQTL) in the College of Agriculture, Urban Sustainability and Environmental Sciences (CAUSES) of the University of the District of Columbia (UDC) is an integral part of the visionary team of professionals that support the mission of CAUSES to

“…offer research based academic and community outreach programs that improve the quality of life and economic opportunity for people and organizations in the District of Columbia, the nation, and the world.” 

CAUSES programs are offered through land-grant centers, academic departments, and institutes. The Staff Assistant reports to the director of the Water Resources Research Institute (WRRI) and technical director of the EQTL while collaborating with the other staff in CAUSES to ensure smooth coordination and collaboration across the College and adhering to established laboratory safety procedures and guidelines. The incumbent is expected to perform all duties with a high degree of professionalism, initiative and efficiency, exercising good judgment and attention to detail.  Responsibilities will include a wide range of administrative responsibilities associated with day-to-day operations and strategic direction of the College and its program unit.  The incumbent will schedule internal and external appointments, make travel arrangements, plan events, handle and draft correspondence, create and manage data files and office records, and interact with a wide range of clients, including students, faculty, staff, residents, agencies, and organizations.

The ongoing activities of CAUSES include offering academic programs, workshops, certificates, professional development, internships and service learning experiences in neighborhoods across the District of Columbia; operating the UDC Firebird Research Farm, which is dedicated to Urban Agriculture, and its satellite Urban Food Hubs. The incumbent must therefore be comfortable with diverse constituencies, and a diverse work environment ranging from office settings to classrooms and outdoor settings. The College reserves the right to change the general assignments of the position as new needs and opportunities emerge.


Essential Duties and Responsibilities

  • Ensures the smooth day-to-day operation of the EQTL and WRRI, including general laboratory maintenance, disposing of biohazardous trash and recyclable materials properly, making travel arrangements, event planning, perusing and sorting incoming correspondence, handling official correspondence and, entering and managing data files and lab and office records.
  • Implements general office processes, including record keeping (e.g., processing sample testing requests; receiving samples), arranging meetings and workshops, securing and stocking supplies and equipment.
  • Enters requisitions for approved purchases and tracks timely delivery of materials and services.
  • Reconciles the unit’s purchasing card, orders supplies and equipment as needed.
  • Provides support for the collection and compilation of accurate internal and external information, and program data, including daily temperature records for all supporting laboratory devices.
  • Drafts correspondence, meeting minutes, lab test reports, and other documents ensuring correct grammar, spelling and style.
  • Supports the delivery of educational programs, ensuring needed set up and supplies for the assigned center/department.
  • Serves as an information resource for students, faculty, staff, community clients and collaborators on outreach and research activities of the assigned center/departments, the UDC Urban Food Hubs, and other CAUSES activities.
  • Exercises discretion on behalf of the assigned program unit and the College on sensitive and routine matters. Regularly solicits feedback and guidance from managers and peers.
  • Other duties as assigned.

Minimum Job Requirements

  • Two or more years in a comparable position.
  • Some post-secondary education experience (four-year degree preferred)
  • Knowledge of the principles of office management and of modern office procedures, systems and equipment.
  • Knowledge of rules, regulations, policies and procedures of various Federal and District agencies or the ability to acquire such knowledge quickly.

Visa Sponsorship: At this time, the University of the District of Columbia does not provide sponsorship for visas (e.g. H-1B). This position is also ineligible for Optional Practical Training (OPT).

Residency Preference: A person applying for a position who is a bona fide District resident at the time of application for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency on or before the effective date of the appointment and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
