Brief Description of Duties

The Office of Admissions reports to the Vice President for Enrollment Management which includes the following functional units: Office of Admissions, Office of Graduate Admissions, Financial Aid and Scholarships, Enrollment Management Services and the Office of the University Registrar.

The Office of Admissions is responsible for domestic and international undergraduate admissions for freshman, readmission, transfer, non-degree, second degree, graduate and PH. D seeking students. The Office of Admissions coordinates the overall recruitment strategy for UDC including travel, on and off campus events, application processing, and communication.

The Information Processor position is an application processing position in the Office of Admissions. This position performs highly specialized and diverse administrative support work. This position is responsible for analyzing undergraduate admission applications and supporting materials, including but not limited to degree-seeking, non-degree seeking, freshman, readmission, transfer, international, graduate, ph. d, dual enrollment and special population applications. This position will interpret state statues, regulations, policies and procedures and make interpretations for others. This position requires excellent data entry skills, attention to detail and the ability to operate in multiple software systems to accomplish unit goals. This position will have a hybrid work arrangement. Incumbent will work remotely and on campus based on a set departmental schedule.

Essential Duties and Responsibilities

 

  • In accordance with state and university guidelines and university enrollment objectives, process admission applications, transcripts, standardized tests, and supplemental documentation to UDC.
  • Prioritizes admissions applications based on deadlines established by Enrollment Management.
  • Load electronic applications in Student Information System (Suspense Files).
  • Sorting, scanning, and indexing incoming materials, applications, internal documents, and letters quickly and accurately to create student's electronic application file. Answer application policy and procedure questions. This position will also create, update, and maintain prospective student hard copy and electronic records.
  • Manage daily inbound mail and various digital inputs for student records.
  • Collaborates with different campus constituencies concerning student admissions records.
  • Codes transcripts, test scores applications, and supporting application documents into BDM using webxtender document Imaging, requiring a thorough understanding of multiple screens in BDM and webxtender workflow and their impact across the office and the computer system.
  • Assigns appropriate admission status (incomplete, complete, closed, update, coming, not coming) according to the UDC.
  • Determines residency based on address and properly assign residency code for tuition purposes for graduating high school seniors in the District, Maryland and Virginia area.
  • Perform quality control functions for records (Audit) involving timely reviewing and analyzing output reports and correcting and updating related data fields in the college's Student Information System.
  • Works closely with Admissions Counselors, providing administrative support.
  • Maintain effective communication between counselor, recruiter and external community stakeholders.
  • Utilize technology to access data, maintain records, and generate reports and communicate with others.
  • Interpret, articulate, and implement a variety of regulations, policies and procedures pertaining to Admissions to ensure compliance with The University of the District of Columbia, state and federal requirements.
  • Supports presentations and workshops promoting Admissions and Enrollment Management.
  • Completes two required Professional Development trainings per academic year.
  • Participates in weekly rotation of production, evaluation, and distribution of reports associated with residency determination, admission status, and electronic admission.
  • Maintains a thorough knowledge of current UDC admission and enrollment management policies. Is assigned to a set of procedures that are reviewed and updated annually. Responsible for creating and maintaining procedures throughout the year.
  • Special projects and other duties as assigned by the Data Processing and Document Manager.
  • Other assigned duties. 

 Minimum Job Requirements
  • High School diploma or completion of G.E.D. equivalency.
  • Two years' office experience in skilled clerical, accounting, auditing and/or administrative support work, including one year of experience with basic office computer systems. 
Preferred Qualifications
  • Previous college admissions or registrar experience.
  • One year experience with a student information system (or similar people management database system).
  • Good oral communication skills. Strong organization skills, attention to detail and experience working in an office environment.
  • Strong service orientation and an understanding of speed as a strategy.
  • Ability to work well under pressure and strong ability to manage multiple priorities and interruptions.
  • Ability to work independently in team-based environments.

Collective Bargaining Unit (Union): This position is in the collective bargaining unit represented by AFSCME local 2087 and you may be required to pay an agency service fee through direct payroll deduction.

Residency Preference: A person applying for a position who is a bona fide District resident at the time of application for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency on or before the effective date of the appointment and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.
