Brief Description of Duties

Incumbent functions as the Senior Academic Administrator to the Chief Academic Officer. The purpose of this position is to provide a wide range of technical and administrative assistance to the CAO and as such perform the following duties:

Essential Duties and Responsibilities

  • Assists the CAO in the coordination of administrative functions in the Office of the CAO.
  • Makes day-to-day operational decisions on issues presented to the Office of the CAO as delegated.
  • Responsible for receiving requests for the CAO’s appointments and appearances and for finalizing the CAO’s official calendar. Responsible for all preliminary coordination required in preparation for meetings with the President.
  • Supports the marketing of Academic Affairs programming.
  • Provides staff support and technical assistance for all professional staff members in the Office of the CAO.  Including Assoc. CAOs and Project Specialist for Academic Business, Dean of Graduate Education; Registrar, Director of CAL; and VP for Research.  Included activities range from higher-level strategic communications guidance/recommendations to help realize objectives/goals, to administrative tasks.  Supports fund- and friend-raising activities of the unit.
  • Serves as staff liaison for Board of Trustees meeting preparations and other BOT- related assignments.  Support the Board EA as appropriate for Academic Affairs related issues, both in-person and on-line.  Relay formal resolutions to Registrar and other units for new programs, as well as tenure and emeriti resolutions to faculty and follow-up with HR and UDC-PD as applicable.
  • Develops and maintains the office records management system.
  • Liaises with administrative leads across all academic 7nits to ensure that operations are seamless and correspondence to/from the OCAO is efficient and follow thru is complete.
  • Conducts special studies and research in relationship to assignments made by the CAO. Recommend initiation of research and policy or practice recommendations.
  • Serves on a variety of university committees in varying capacities and attends seminars, workshops, and conferences to keep abreast of current developments in relevant areas of program responsibility.
  • Supports the execution of major academic convocations(Opening, Founders’, and Commencement).  Helps to coordinate logistics (including special/extra support to speakers and VIP guests), supports publication production (including editing/proofing), correspondence with honorees, assisting with academic ceremonial protocols (including regalia), supports production of the Run-of-Show (minute-by-minute schedule for events), and collaboration/coordination with other units involved in events.

Minimum Job Requirements

  • Administrative skills in planning, organization, time management etc.
  • Writing skills for editing and approving the work of others.
  • Demonstrated ability to coordinate many projects at the same time.
  • Thorough knowledge of information technology and related office systems.
  • Thorough knowledge of the principles of office management and of up-to-date office procedures, systems, and equipment.
  •  Ability to analyze data and prepare written reports.
  • Ability to work independently on confidential assignments and support tasks.
  •  Ability to maintain complex administrative records; to prepare statistical and fiscal reports, and to provide complex information from such records.
  • Knowledge of the organization, mission and programs under the jurisdiction of the University of the District of Columbia.
  • Knowledge of the organization and functions of the District of Columbia Government, its various agencies, boards, and commissions, as appropriate.
  • Ability to work effectively when confronted with emergencies.
  • Ability to provide professional guidance and supervision.
  • Performs other duties as assigned.

Collective Bargaining Unit (Union): This position is not part of the collective bargaining unit.

Visa Sponsorship: At this time, the University of the District of Columbia does not provide sponsorship for visas (e.g. H-1B). This position is also ineligible for Optional Practical Training (OPT).

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
