Brief Description of Duties

Under general supervision of the Associate Vice President, Human Resources, provides professional human resources services and consultation to assigned operating units of the University. This position communicates and executes HR services, programs and procedures that respond to the different needs and concerns of their customers. Primary areas of responsibility include but are not limited to administrative support to HR units, customer service, records management, personnel action processing, remitted tuition, verification of employment, and other special assigned projects.

Essential Duties and Responsibilities

  • Processes and reviews a variety of personnel actions for the offices and units through PeopleSoft and ensures the accuracy of the transaction. Actions include student employment, adjunct faculty and other personnel actions processed under the guidance of the HRIS team.
  • Serves as the in-house records manager, responsible for the accuracy and completeness of official personnel files and other documents in hard copy and digital format. Responsibilities include filing, scanning, auditing, and the overall maintenance and accuracy of official personnel records.
  • Prepares verification of employment requests and maintains a tracking and filing system for retrieval ease.
  • Provide administrative support to assigned units, responds to and conducts research in response to FOIA, employment, and payroll requests and supports periodic audits.
  • Provides exceptional customer services to support all UDC employees in accordance with established policies, procedures and guidelines. Provides appropriate documentation based on customer requests.
  • Maintains knowledge of HR related trends, legal changes, past practices and emerging practices.
  • Answers inquiries from managers and employees on matters pertaining to assigned areas. Refers inquiries that are beyond the incumbent’s knowledge to the appropriate units and team members.
  • Assists in special projects or programs of a varied and complex nature.
  • Assists in the University’s recruitment and placement services as needed.
  • Performs other duties as assigned.

Minimum Job Requirements

  • Associate degree from an accredited college or university; Bachelor’s degree preferred.
  • Three (3) years of progressive human resources experience
  • Two years of customer service experience
  • Experience with HRIS systems and payroll; Proficient with MS Office Suite and other available technologies;
  • Or any equivalent combination of experience, education and/or training.

Visa Sponsorship: At this time, the University of the District of Columbia does not provide sponsorship for visas (e.g. H-1B). This position is also ineligible for Optional Practical Training (OPT).

Residency Preference: A person applying for a position who is a bona fide District resident at the time of application for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency on or before the effective date of the appointment and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
