Brief Description of Duties

The incumbent functions as the Assistant Registrar in the Office of the Registrar, David A. Clarke School of Law at the University of the District of Columbia.  The Assistant Registrar works under the administrative direction and direct supervision of the school of law’s Registrar, who will provide direction, identify priorities and outline objectives.

Essential Duties and Responsibilities

  • Serves as the director in the absence of the Registrar.
  • Assists with the review of materials, forms and calendars for all registration periods and prepares the term set-up for on-line registration activities and transactions in Banner.
  • Monitors the distribution of semester course rosters, grade report forms and exam schedules to faculty and adjuncts.
  • Monitors the progress of all incoming and completed requests.
  • Assists in assuring the integrity of all academic records of current and former students, including the input and update of student information in the student records system.
  • Monitors the collection of required documents for graduation, bar, and court certifications.
  • Assists with auditing academic records and with all aspects of graduation clearance.
  • Administers the archiving and retrieval of student records.
  • Oversees the ordering, inventory, distribution, collection and return of academic regalia, as needed, for appropriate university ceremonies.
  • Assists with the planning and attends graduation meetings, ceremonies, rehearsals and other events.
  • Prepares, collects and tracks forms for bar certification and various verifications.
  • Collects grade data from faculty and assists with the data entry into the student records system.
  • Assists with the preparation and distribution of enrollment and other reports in various formats to the Deans, the University, the ABA and other entities.
  • Provides appropriate forms, documents, and information about procedures of the Office to students, faculty, staff, alumni, and visitors as requested.
  • Assists with ensuring that policies, procedures, and protocols are administered in accordance with best practices, and University, Federal and District standards.
  • Provides assignments for and assists with the supervision of student workers.
  • General file maintenance.
  • Other related duties as assigned.

Minimum Job Requirements

  • Bachelor’s Degree (preferred) or the equivalent
  • A minimum of three years of experience in a student services environment or the equivalent, including experience with Banner 9 operations.

Visa Sponsorship: At this time, the University of the District of Columbia does not provide sponsorship for visas (e.g. H-1B). This position is also ineligible for Optional Practical Training (OPT).

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
