Brief Description of Duties


The Administrative Assistant will handle the administrative and clerical daily functions of the Student Center. The Assistant will also assist in budget-related tasks for the Student Center as directed by the supervisor. The Assistant may also perform tasks to assist the Office of Student Life as assigned.


Essential Duties and Responsibilities

  • In line with established University and District government policies and procedures, initiates and monitors actions necessary to accomplish administrative details for the Student Center including but not limited to general office and recordkeeping; Provide general administrative support to the department staff and direct support to the Director, scheduling internal and external appointments; securing and stocking of office supplies, equipment, furniture, software, technology, informational resources, and other related items.
  •  Assist in the financial management of Student Center operations including billing and accounts payable, monitoring budget expenditures, completing purchase requisitions, reconcile expenditures, and organizing budget documentation for items such as office supplies, travel, and professional development training. Provides the Director with weekly department budget updates. Ensures fiscal compliance with university regulations and procedures.
  • Coordinates department procurement. Performs all requisition generation, maintains a record of invoices and receipts and accounts payable for the department. Manages department purchasing card usage ensuring all University and District processes and policies are followed related to purchasing card usage. Coordinate all staff and student travel planning.
  • Assist with the coordination of events and programming logistics such as space reservations, space setup, ordering promotional items, greeting of clients, ordering event food and beverages, arranging for appropriate equipment set-up, audio-visual needs, technical personnel, police, and necessary supervision for scheduled events.
  • Provides administrative assistance to the Office of Student Life as requested.
  • Performs other duties and responsibilities as assigned that are related to those enumerated above which do not alter the basic level of responsibility of the position.

Minimum Job Requirements

  • High School diploma required. Associates degree preferred.
  • A minimum of 3 years of related work experience in office administrative, clerical, and operations work; experience with diverse, college student populations preferred.
  • Proficient in computer software applications including office productivity software.
  • Ability to learn and operate the various modules of Banner Enterprise Resource Planning & Student Information software.
  • Understanding of student center, conference, space reservations, facility management, and event services environments.
  • Excellent verbal and written communication skills; ability to listen, clearly articulate thoughts/directions/expectations and develop reports/proposals and make presentations.

Visa Sponsorship: At this time, the University of the District of Columbia does not provide sponsorship for visas (e.g. H-1B). This position is also ineligible for Optional Practical Training (OPT).

Residency Preference: A person applying for a position who is a bona fide District resident at the time of application for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency on or before the effective date of the appointment and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
